An earthworks quote is incomplete if it prices digging but does not explain what happens to the material afterwards. For a Spanish house project, the meaningful total can include excavation, loading, haulage, an authorised destination, equipment mobilisation and finishing the prepared area. The same headline rate can therefore describe very different jobs.

Before comparing offers, give contractors the same drawings and ask them to follow the material through the whole operation. This is particularly valuable when you are managing the purchase or build from abroad and cannot resolve measurement disagreements during every site visit.

Identify what the quantity actually measures

A cubic metre in the undisturbed ground is not automatically a cubic metre of loose excavated material or a cubic metre of finished compacted fill. These are different measurement states. Their relationship depends on the material and the process, so it should be stated rather than assumed.

Excavation may be measured from survey sections, transport from loads or weight tickets, and fill from the completed work. Ask which method each quotation uses. Comparing two rates without their units and measurement rules can make a genuinely more complete offer look expensive.

Specify the work before choosing hourly or unit rates

Distinguish general excavation from trenches, restricted work around existing structures and final trimming. State what the contractor assumes about ground conditions and access. Rock, undocumented fill or buried services can change the work substantially.

With an hourly offer, ask whether the operator, fuel, mobilisation, waiting and ancillary equipment are included. The eventual cost depends on productivity as well as the hourly figure. With a cubic-metre rate, ask whether loading is included and what would trigger a different classification or price.

Temporary support and excavation stability are engineering decisions. Do not accept an informal site method merely because it avoids a priced item. If retaining structures are involved, coordinate the earthworks package with the retaining-wall scope before procurement.

Haulage needs an agreed destination

A removal rate should identify its distance assumptions and whether acceptance charges are included. The vehicle's practical load can be limited by weight, access and material properties. A nominal truck volume is not sufficient evidence of the number of trips.

Ask for the records that will support invoicing: load tickets, weights, destination receipts or another agreed system. Spain's construction and demolition waste rules provide part of the applicable management framework. The exact obligations depend on what is being removed and the circumstances.

Some natural excavated material can follow a specified recovery route for use in other works under Order APM/1007/2017. That does not make every field or nearby building site an acceptable destination. Have the contractor identify the proposed route and its supporting documentation.

A worked budget using hypothetical rates

This example is an accounting exercise, not a market quotation. Assume a project has 200 m³ of excavation measured in its original position. For this illustration only, assume it produces 250 m³ of loose material. The conversion and all prices below are invented and must not be used as engineering assumptions or Spanish average rates.

The digging-and-loading figure is €3,600, but the described operation totals €7,800. This is why the initial rate alone tells you little. Temporary support, pumping and reinstatement are not included in the example and would need separate assessment if required.

Now consider a second contractor offering an all-inclusive rate. To compare it, ask exactly which rows it covers and what measurement base it uses. A lump sum can be useful, but its exclusions and underlying assumptions still matter.

Agree how unexpected conditions become approved changes

Before work starts, define who is notified if the excavation encounters different ground, water or buried obstructions. The response may require investigation or a revised method. The associated price should describe that additional work and be approved through the contract process.

Do not allow a general “unforeseen conditions” allowance to replace all information. Identify what can reasonably be investigated now and what remains a genuine uncertainty. If suspicious material appears, its classification and handling need assessment before it is mixed into ordinary excavated loads.

Also identify who checks levels before the foundation contractor takes over. An earthworks package and a foundation package can both be correctly priced while leaving the handover preparation unclear.

Make the final account traceable

Keep the starting survey, agreed formation levels, approved measurements and removal records. State how instructed over-excavation, changed levels and additional visits will be valued. This prevents the final invoice from becoming a negotiation over quantities nobody can reconstruct.

Put the result into the complete plot budget, with confirmed and provisional items separated. If the land slopes, use the sloping-site assessment to test whether a different house position would reduce the operation before signing an earthworks contract.

Tell us the site location, available drawings and intended excavation. A useful enquiry describes the job and its measurement basis, allowing suppliers to price the same outcome rather than different fragments of it.
